# Spud Permissions and Access: data & security

Spud can only see what you can see. Its access to data in Float, Box, and other connected tools is governed by your existing permissions in those systems. If you have access to something, Spud can use it. If you do not, it cannot. To set up your access and manage permissions Login at www.spud.bot and head to “Configure”.

Who can use Spud?

Everyone at MaSH!. Spud is available to the whole agency inside Microsoft Teams. All you need is your login and your tools connected at onboarding.

Do some people have access to more than others?

Yes, but not because of Spud. Access differences reflect your existing permissions in the connected tools. A senior team member with broader Float or Box access will be able to retrieve more through Spud than someone with narrower permissions in those systems. Spud neither grants nor restricts access independently.

CONNECTING YOUR TOOLS

Setting up access at onboarding

Do I need to do anything to set up my permissions?

Yes, once. During onboarding, you connect your tools via Configure at www.spud.bot . This is what gives Spud access to Float, Box, and any other integrated platforms. Once connected, Spud automatically inherits your access. You do not need to do anything again unless you change tools or roles.

How do I connect a tool I missed during onboarding?

Log in at www.spud.bot , go to Configure, and connect the missing tool. Once connected, Spud can access it immediately. No further setup required.

CONNECT EVERYTHING AT ONBOARDING

The more tools you connect upfront, the more Spud can do for you from day one. Float, Box, and any other platforms you use regularly should all be connected in Configure before you start running tasks.

WHAT SPUD CAN AND CANNOT SEE

Data access explained

Can Spud access client data?

Yes, if you can. Spud accesses client files, briefs, and project data through the tools you have connected, using your permissions. If a client folder in Box is accessible to you, Spud can retrieve files from it. If a project in Float is visible to you, Spud can report on it. Nothing outside your existing access is ever reachable.

Why can Spud not access a document I know exists?

Most likely because the file is in a location you do not have access to, or the tool it lives in has not been connected. Check your permissions in the relevant tool first. If your access looks correct and Spud still cannot reach it, go to Configure and confirm the tool connection is active.

Can Spud access things in tools I have not connected?

No. Spud can only work with systems that have been explicitly connected in Configure. If a tool is not connected, Spud has no visibility into it at all, regardless of what permissions you hold in that system.

TASK ACCESS

Why a task might be unavailable

Why can I not access a specific task?

There are two likely causes. First, the task may require a tool connection you have not set up yet. Go to Configure and check. Second, some tasks are configured for specific teams or roles. If a task is not available to you and you believe it should be, contact your Champions lead.

Do I need extra permissions to run scheduled tasks?

No. Scheduled tasks run under the same access as your manual requests. If you can run a task on demand, you can schedule it. If a scheduled task fails due to an access error, check your tool connections in Configure first.

Can Spud do something in a tool on my behalf that I could not do myself?

No. Spud acts within your permissions, never beyond them. It cannot access folders you are locked out of, modify records you cannot edit, or retrieve data from systems you are not connected to. Your access is the boundary.

THE SIMPLE RULE

If you can see it, Spud can see it. If you cannot, it cannot. Your permissions in Float, Box, and every other connected tool are the limit.
